The Opportunity

Our client is a homegrown, premium lifestyle and F&B brand, well-loved for their commitment to quality, craftsmanship, and a community-centric approach. With multiple high-traffic outlets and a growing team, they pride themselves on a culture of excellence and authentic hospitality.

As they enter a phase of strategic scaling, the CEO/Founder is looking for a high-caliber Executive Business Partner to serve as a strategic "right hand" and force multiplier. This is a pivotal role focused on enabling the CEO to operate at a high level of effectiveness. You will ensure the organization achieves its budget targets and key milestones by maintaining momentum and clarity across the CEO’s agenda. Success in this role is defined by the CEO’s effectiveness and the organization’s ability to execute with discipline and consistency.

Key Responsibilities

CEO Support & Priority Management

  • Provide structured, day-to-day support to the CEO to ensure effective management of priorities, time, and commitments.

  • Manage the CEO's calendar, prioritizing commitments and ensuring efficient time allocation.

  • Prepare briefing materials, summaries, and updates to support effective decision-making

  • Coordinate meetings, prepare agendas, and ensure relevant materials are prepared in advance.

  • Track follow-ups and action items from meetings, ensuring alignment and timely execution across stakeholders.

Cross-Functional Coordination & Project Execution

  • Act as a central coordination point across the CEO, leadership team, and departments to ensure alignment on priorities and timelines.

  • Support the planning, tracking, and execution of company-wide initiatives and CEO-led projects.

  • Maintain visibility over key workstreams, ensuring clear ownership, accountability, and progress tracking.

  • Identify risks, delays, or gaps early, and work with relevant stakeholders to resolve them.

HR Engagement & Culture Initiatives

  • Work closely with the CEO to support the planning and execution of HR engagement initiatives and culture-building efforts.

  • Coordinate company-wide events including Townhalls, Festive celebrations (e.g., Chinese New Year dinner), and staff appreciation initiatives.

  • Partner with the HR Business Partner to strengthen team engagement, alignment, and communication across the organization.

Ground Sensing & Organisational Awareness

  • Maintain awareness of on-the-ground team sentiment through regular interaction and observation across teams.

  • Identify emerging issues, patterns, or areas of concern and surface them to the CEO in a timely and constructive manner.

  • Act as an additional feedback channel to support early identification of operational or cultural gaps.

  • Exercise sound judgement in distinguishing between isolated issues and broader organisational trends.

Internal Communications & Alignment

  • Support internal communications from the CEO's office to ensure clarity, consistency, and alignment across teams.

  • Coordinate company-wide announcements and leadership updates.

  • Ensure key decisions, updates, and directions are clearly documented and communicated to relevant stakeholders.

Office Management & Systems Governance

  • Oversee the day-to-day operations of the head office, ensuring administrative and operational needs are managed effectively.

  • Proactively identify and implement improvements to the workplace environment to support stronger team collaboration and in-office presence.

  • Maintain and organize key internal documentation, trackers, and company references.

  • Improve systems and workflows where needed to enhance efficiency and clarity.

Key Requirements

  • Education: Bachelor's degree in Business Administration, Communications, Management, or a related field.

  • Experience: 3–5 years of experience in business operations, executive support, consulting, or strategy-related roles.

  • Founder Experience: Experience working closely with senior leadership or founders in a fast-paced or entrepreneurial environment.

  • Professional Maturity: High degree of judgement, discretion, and the ability to navigate complexity.

  • Project Management: Strong organizational skills with the ability to manage multiple initiatives simultaneously.

  • Communication: Excellent written and verbal communication skills with the ability to "code-switch" between stakeholder levels.

  • Digital Proficiency: High proficiency with Google Workspace and common workplace productivity tools.

  • Strategic Translator: Able to translate strategic direction into structured processes and actionable plans.

  • Proactive Problem Solver: Resourceful in moving initiatives forward and navigating ambiguity.
